HR operations and HR administration are the execution side of HR: onboarding paperwork, employee records, attendance and leave, letters and policy administration, statutory filings, exit formalities and the HR helpdesk. An HR operations and admin course teaches you to run that work in the software companies use. At IHRA it sits inside the 4-month I-CGHR, with a 100% Placement Guarantee.
IHRA is an Advanced HR Training Institute with International Certification, teaching from its Koramangala campus in Bengaluru and as Live Online classes across India. This page is for people drawn to the process side of HR rather than the strategy or people-management side. It covers what HR operations and admin actually involve day to day, how the role differs from an HR generalist and from HR management, what IHRA teaches for it, who it suits, and how it fits inside the I-CGHR program.

What HR Operations and HR Admin Cover Day to Day
Every HR decision produces paperwork, a record and a deadline. HR operations is the function that handles all three. When a candidate accepts an offer, someone has to collect their documents, create their record in the HRIS, issue the appointment letter, enrol them for PF and ESI, set up their attendance and leave, and hand them a policy handbook. When they resign two years later, someone has to run the notice period, clear their dues, issue the relieving letter and close the record. That someone is HR operations. HR administration is the same work seen from the office side: letters, files, policy circulation, vendor coordination and the queries employees bring to the HR desk.
In practice the two labels are used for one role. Small and mid-size companies advertise it as HR Executive (Operations), HR Admin Executive or HR Ops Associate; larger companies run a shared-services or HR operations team that does the same work at scale. What the job asks for is consistent: accuracy, follow-through and the ability to work in the company’s HR software without being walked through it.
HR operations, in one line: the day-to-day execution and record-keeping of HR, from an employee’s joining formalities to their exit, done accurately, on time and inside the HRIS.
A typical week
- Joining formalities: document collection, background verification follow-up, HRIS record creation, induction scheduling
- HR letters: offer, appointment, confirmation, transfer, increment, experience and relieving letters
- Employee records: personal files, ID cards, bank and nominee details, changes of address or designation
- Attendance and leave: regularisation requests, leave balances, shift and holiday calendars, monthly inputs to payroll
- Statutory admin: PF and ESI enrolment, nomination forms, records kept ready for audit
- Policy administration: circulating and updating policies, tracking acknowledgements, answering “what does the policy say about…”
- Exit formalities: resignation acceptance, notice-period tracking, clearance, full-and-final settlement inputs, exit interview coordination
- HR helpdesk: tickets and walk-in queries on payslips, leave, letters and benefits
- HR MIS: headcount, joiners, leavers and attendance summaries for management
HR Operations vs HR Generalist vs HR Management
These three terms overlap in job adverts, and choosing the wrong course because of it is a common mistake. The simplest way to tell them apart is by scope and by what you are judged on.
HR Operations / Admin
- Executes and records: onboarding, letters, attendance, leave, compliance admin, exits, helpdesk
- Lives in the HRIS and the compliance portal every day
- Judged on accuracy, turnaround time and audit-readiness
- Entry route for people who prefer process to persuasion
HR Generalist
- Owns the whole employee lifecycle: operations plus recruitment, payroll, performance and employee relations
- Works across HRIS, ATS, payroll and PMS software
- Judged on breadth: can you run every HR function?
- Covered on IHRA’s HR generalist course page
HR Management
- Sets policy, budgets and headcount plans; manages the HR team and advises leadership
- Reviews reports rather than producing them
- Judged on outcomes: attrition, cost, capability, culture
- Covered on IHRA’s HR management course page
None of these is a lesser version of another. Operations is where most HR careers begin, and it is also where most HR credibility is built: a manager who has never processed a joining or closed an exit will struggle to design a good policy for either. If you already know you want breadth, start with the generalist page. If you want the senior track, start with the management page. If the work described in the list above appeals to you, this is your page.

What IHRA Teaches for HR Operations and Admin
IHRA does not teach HR operations as theory. Each process below is taught as a sequence of steps, the documents produced at each step, the software it runs in and the mistakes that get caught in audit. The operations and admin content is drawn from the I-CGHR’s 60+ HR modules and 22+ HR software tools; these are the parts that matter most for this role.
HRIS and employee records
Creating and maintaining employee master data, personal files, letters and organisational changes in an HRIS — with hands-on time in Workday HCM, SAP HCM / SAP SuccessFactors and Oracle HRMS, the systems that appear by name in HR operations job descriptions.
Onboarding and joining formalities
Moving an accepted candidate from the ATS into the HRIS: document checklists, offer and appointment letters, induction scheduling and the coordination between the recruiter and the operations desk that decides whether day one goes smoothly.
Attendance, leave and payroll inputs
Leave policies and balances, attendance regularisation, shift and holiday calendars, and preparing the monthly inputs that payroll depends on — taught inside HRIS and payroll software so the handover to payroll is something you have actually done.
Statutory compliance administration
PF, ESI, gratuity and professional tax from the operations side: enrolments, nomination forms, filing on time through the statutory compliance portal, and keeping the registers and records an auditor or labour inspector will ask to see.
Policy administration and employee queries
Circulating policies, tracking acknowledgements, running engagement and pulse surveys in HR employee survey software, and handling the helpdesk queries on payslips, leave and letters that make up much of an operations executive’s day.
Exit formalities and HR MIS
Resignation to relieving letter: notice periods, clearance, full-and-final inputs and exit interviews. Plus the monthly HR MIS — headcount, joiners, leavers, attendance — built in MS Office 365, with AI tools for HR used to draft letters and summarise survey responses.
Interview preparation, CV building, LinkedIn profile building and an AI-powered ATS-friendly resume builder (free to enrolled students) are scheduled inside the program. IHRA is internationally affiliated and accredited, and the I-CGHR is awarded on completion.

Who an HR Operations and Admin Course Suits
- Freshers who like process. If you are organised, careful with detail and happier closing a checklist than pitching to a candidate, HR operations is the natural first HR role and the one most companies hire freshers into.
- Office administrators, back-office and data-entry staff who already handle records, letters and attendance and want the HR title and the HRIS skills that go with it.
- Recruiters and HR coordinators who handle the front end of hiring and want to own the onboarding, records and compliance side too.
- Returning professionals re-entering work after a break, for whom a structured, software-based role with clear deliverables is an easier re-entry than a client-facing one.
- Small-business office managers who are doing HR admin already — PF enrolments, leave records, appointment letters — and want to stop doing it by guesswork.
If you read that list and thought “I want to run hiring and appraisals as well,” you are describing a generalist; the HR generalist course page is the better fit. If you thought “I want to lead the HR function,” the HR management course page is.
How HR Operations and Admin Fit Inside the I-CGHR
IHRA does not sell HR operations as a separate short course, and that is deliberate. Operations work only makes sense when you understand the functions on either side of it: you cannot onboard well without knowing how the recruiter’s ATS hands over, and you cannot prepare payroll inputs well without knowing how payroll uses them. So the operations and admin modules sit inside the I-CGHR — Internationally Certified Generalist in Human Resource, IHRA’s 4-month flagship program, alongside recruitment, payroll, performance management and employee relations.
What that means for someone who wants the operations role specifically: you graduate able to do the operations job on day one, with the adjacent functions understood well enough to grow out of it later. Employers hiring for HR operations see the I-CGHR on a CV and hands-on time in Workday, SAP SuccessFactors or Oracle HRMS beside it. The program runs as classroom training at the Koramangala campus in Bengaluru and as Live Online classes for candidates anywhere in India, and carries a 100% Placement Guarantee.

HR Operations and Admin Course FAQs
What is HR operations?
HR operations is the execution and record-keeping side of HR. It covers joining formalities, employee records in the HRIS, HR letters, attendance and leave administration, statutory enrolments and filings, policy administration, exit formalities and the HR helpdesk. It is the function that turns HR decisions into completed paperwork, accurate records and met deadlines.
What does an HR admin do day to day?
An HR admin collects joining documents and creates employee records, issues offer, appointment, confirmation and relieving letters, maintains attendance and leave data, prepares monthly inputs for payroll, handles PF and ESI enrolments and forms, circulates policies and tracks acknowledgements, answers employee queries on payslips and leave, coordinates exits, and compiles headcount and attendance reports for management.
What is the difference between HR operations and an HR generalist?
HR operations is one part of the employee lifecycle: the execution and records work between joining and exit. An HR generalist owns the whole lifecycle, which includes operations but also recruitment, payroll, performance management and employee relations. Operations is narrower and process-focused; the generalist role is broader. Many HR careers start in operations and widen into a generalist role.
What is the difference between HR operations and HR management?
HR operations executes: it processes joinings, maintains records, files returns and answers queries. HR management decides: it sets policy, plans headcount and budgets, manages the HR team and advises leadership. Operations produces the reports that management reviews. HR management is the more senior track, usually reached after several years in operations, generalist or specialist roles.
Is HR operations a good starting point for a fresher?
Yes. HR Executive (Operations) and HR Admin Executive are roles companies regularly fill with freshers, because the work is process-driven and can be learned quickly if you already know the HRIS and the compliance steps. That is what an HR operations and admin course gives you. At IHRA this content sits inside the 4-month I-CGHR, which carries a 100% Placement Guarantee.
Does IHRA offer a separate HR operations course?
No. IHRA teaches HR operations and admin as part of the I-CGHR, its 4-month program covering 60+ HR modules and 22+ HR software tools, because operations work depends on understanding the recruitment and payroll functions on either side of it. You come out able to do the operations role on day one and equipped to grow into a generalist or management role later.
What salary can I expect in HR operations or HR admin?
Salary ranges from around ₹40,000 to ₹1.5 lakh per month based on your profile — your qualification, prior experience, the role you move into and the employer you join. Pay rises with the scope you handle, the size of the employer and the HR systems you can work in unaided.
